AMETRICA TEKNOLOJİ ANONİM ŞİRKETİ (“Ametrica”, “we”), the company behind Hotelbase, is the controller of the personal data described here under the GDPR, and the data controller (veri sorumlusu) under KVKK.

What this policy covers

This policy covers this website and the enquiries you send us, for example a demo request.

It does not cover the Hotelbase app that guests use inside a hotel. There, the hotel decides how guest data is used, and we process it on the hotel’s behalf under a data processing agreement. If you were a guest, please contact the hotel. By design, the guest app works without names, email addresses, booking numbers or accounts.

What we collect and why

• Demo requests. Your name, hotel, work email, number of rooms and anything you write in the message. We use them to reply, arrange a demo and prepare a proposal. Legal basis: steps taken at your request before entering into a contract, and our legitimate interest in answering business enquiries (GDPR Art. 6(1)(b) and (f); KVKK Art. 5(2)(c) and (f)).
• Emails you send us. Your contact details and the content of your message, for the same purposes and on the same legal bases.
• Technical data when you visit. Your IP address, browser and device type, the page requested, the time and the referring page. Our hosting provider processes these to deliver the site and keep it secure. Legal basis: our legitimate interest in running a secure website (GDPR Art. 6(1)(f); KVKK Art. 5(2)(f)).
• Your preferences. The language and theme you choose and your cookie choices, stored on your own device. See the Cookie Policy.
• Analytics, only with your consent. Anonymous page-view statistics from Vercel Web Analytics: the page visited, the referring site, country, browser and device type. It sets no cookies and does not build profiles or follow you across other websites. Legal basis: your consent (GDPR Art. 6(1)(a); explicit consent under KVKK Art. 5(1)). You can withdraw it at any time in the cookie settings.

We collect this data electronically: through the form on this website, by email, and automatically when you browse the site.

We do not sell personal data, we do not use advertising or retargeting cookies or social media pixels, and we do not make decisions about you based solely on automated processing.

Who receives your data

We share personal data only as far as needed, with:

• Vercel Inc., which hosts this website and, if you consent, provides its analytics.
• Our email and office software provider, which stores the emails you send us.
• Professional advisers bound by confidentiality, such as lawyers and accountants, where necessary.
• Public authorities, where the law requires it.

Our service providers act on our instructions under data processing agreements and may not use your data for their own purposes.

International transfers

Some of these providers process data outside Türkiye and the European Economic Area, for example Vercel in the United States. For transfers from the EEA we rely on an adequacy decision, such as the EU–U.S. Data Privacy Framework where the provider is certified, or on the European Commission’s Standard Contractual Clauses. For transfers from Türkiye we rely on the safeguards set out in Article 9 of KVKK, such as standard contracts.

How long we keep it

• Demo requests and related correspondence: for as long as we need them to handle your enquiry and any business relationship that follows. If none follows, we delete them at the latest 24 months after our last contact.
• Server logs: for the short period our hosting provider needs for security and troubleshooting.
• Analytics: kept only as aggregated statistics that do not identify you.

Where the law requires us to keep records for longer, for example commercial or tax records, we keep them for that period only.

Your rights

Under the GDPR you have the right to access your data, to have it corrected or erased, to restrict its processing, to receive it in a portable format, and to object to processing based on our legitimate interests. Where we rely on your consent, you may withdraw it at any time; this does not affect processing that took place before.

Under Article 11 of KVKK you have the right to learn whether your data is processed and to request information about it; to learn the purpose of processing and whether it is used accordingly; to know the third parties it is transferred to in Türkiye or abroad; to request its correction, deletion or destruction and the notification of these to those third parties; to object to a result against you that arises solely from automated analysis; and to claim compensation if you suffer damage from unlawful processing.

To exercise any of these rights, write to info@ametricatech.com or send a letter to our registered address. We may ask you to confirm your identity. We answer free of charge within one month under the GDPR and within 30 days under KVKK.

You also have the right to complain to a data protection authority: in the EU, the authority of the country where you live or work; in Türkiye, the Personal Data Protection Board (KVKK Kurulu), after first applying to us.

How we protect it

The website is served only over encrypted connections (HTTPS). Access to enquiries is limited to the people at Ametrica who need it, and our providers are bound by confidentiality and data processing agreements.

Children

This website is meant for hotel professionals. It is not directed at children, and we do not knowingly collect data from anyone under 16.

Changes to this policy

When this policy changes, we update the date at the top of the page. If we change which cookies or analytics tools we use, we ask for your consent again.
